About the Opportunity
The Administrative Operations Manager - Law Clinics at Northeastern University School of Law plays a pivotal role in overseeing the operations of the law school's clinics and practicums. The Clinical Programs include eight specialized areas: Community Business, Civil Rights and Restorative Justice, Domestic Violence, Housing, Immigration, Intellectual Property, Public Health, and Prisoners' Rights. This role involves working with a team of 10 - 15 full-time faculty, part-time faculty, and teaching fellows, who collectively supervise over 130 students and provide 25,000 hours of free legal work to the community.
The Administrative Operations Manager - Law Clinics manages all administrative and technical aspects of this multi-faceted program. This position is responsible for ensuring the quality of program delivery and excellent service and support to students, faculty, staff, and pro bono clients. This position is responsible for overseeing multiple budgets, managing the hiring, training, and supervision of work-study students, and assisting with the recruitment of new faculty. This role is also critical in establishing and maintaining support systems. This position is central to the high-quality delivery of the Clinical Programs and advancing the law school's public interest mission.
Responsibilities:
1. Clinical Program Administration (70%)
- Oversee and manage the clinical program, this includes maintaining a thorough understanding of relevant policies, procedures, and deadlines.
- Ensure all aspects of the program meet established requirements and are executed efficiently.
- Collaborate with clinical faculty to coordinate certification processes with courts and agencies. Ensure that all necessary documentation is prepared and submitted on time, and that certification standards are met.
2. Office and Personnel Management (30%)
- Manage front desk functions, this includes overseeing building facility issues, office communications, ordering and maintaining office inventory.
- Manage budget projections, track expenditures, and oversee the processing of purchases, expense reimbursements, and contracts. This includes ensuring that legal client management services and interpreter services are contracted and billed appropriately.
- Develop and manage the implementation of clinic office policies and procedures in collaboration with the Director of Clinical Programs and in alignment with NU and School of Law.
- Maintain and update digital files, track data trends, and ensure university systems are current. Manage the procurement and inventory of library materials, resources, supplies, and equipment, ensuring availability and access as needed.
- Oversee the hiring, training, and supervision of student-filled positions, including part-time and work-study staff.
- Maintain and update case management protocols, providing training to students and staff on best practices. Serve as a point of contact for troubleshooting any issues that arise within the clinical setting.
- Regularly update and refine training materials, ensuring that both students and staff are well-informed of any changes to protocols or procedures.
Qualifications:
Required Qualifications:
- Knowledge and skills are typically acquired through the completion of a bachelor's degree with at least two years of related experience; experience working in an academic or law office setting is preferred.
- Strong communication and interpersonal skills, with a strong customer service focus.
- Strong organizational skills, proactive problem-solving abilities, and excellent follow-through, this includes the manage multiple tasks and deadline pressures.
- Must be self-directed, able to make independent decisions
- Demonstrate excellent verbal and written communication skills, as well as the ability to collaborate and communicate effectively across all levels of the organization

- Proficiency in Microsoft Office, including Word, Excel, and PowerPoint, ability to learn and adapt to new software systems as needed
Preferred Qualifications:
- Experience with Concur, Blackboard, and/or Canvas
- Budget management in a small office setting
- Proficiency in conversational Spanish
